Key Outcomes

  • 50% Fewer Client Calls

Centralizing schedules, updates, and client communication cut office and field-supervisor phone calls in half.

  • Zero Chasing

Real-time schedule visibility stopped clients from calling to check on project status, even after days with no visible activity on the jobsite.

  • Healthy Profit Margins

Standardized project tracking kept Flaherty Contracting focused on its most profitable project volume, avoiding the pitfalls of growing too quickly.

Situation

Flaherty Contracting is a Boston-based general contractor known for two-story additions and multi-room remodels, with jobs averaging $400K to $500K.

A few years ago, owners James Flaherty and David Phinney pushed past their usual scale to see how big the business could get. The answer surprised them: more revenue, more hours, less profit. They pulled back to a deliberate $2M annual revenue sweet spot, the size at which their four-person team performs best.

Getting there meant fixing how the business ran day to day. Client updates lived in Gmail threads, private texts, and phone calls. Verbal instructions during a job (a paint color, a change order) left no paper trail, which meant disputes later.

"Before Houzz Pro, we took on more work and it wasn't really as profitable. We worked harder and it didn't really pay off. Now, a lot of the contractors in the Boston area ask me how we got to the level we're at so quickly. We're all in on Houzz Pro."

Solution

Flaherty Contracting now runs its full project lifecycle on Houzz Pro. Lead tracking, estimates, scheduling, client communication, and subcontractor coordination live in one connected system instead of scattered tools.

“Since we started with Houzz Pro, it's just been unbelievable – it's cut our client phone calls and our update calls with field supers in half. Every project detail lives in Houzz Pro, and everyone can access the information themselves,” says David Phinney, Business Manager at Flaherty Contracting.

The standout feature for Flaherty is Houzz Pro's AI-generated weekly progress report, which pulls photos, schedule updates, change orders, and payments into a single one-page summary, an easier lift for less tech-savvy homeowners than navigating a full dashboard. “That one-page report is what a couple sits down to with their coffee on a Sunday morning. They get a snapshot of their project, and their reaction is phenomenal,” Phinney says.

Subcontractors get login-free access to schedules and plans through the app, and bid forms come back through the platform like email attachments. New subs get walked through the system on a big screen in the office before a job starts. Adoption isn't instant: “If they want to work with you, they'll do it eventually,” Phinney says.

The payoff shows up in daily admin load. With leads, schedules, and client updates centralized instead of chased down by phone, “it's cut our phone calls and our field supers' calls in half,” Flaherty says. “This is my work instead of talking on the phone.”

Results

Schedule transparency has all but eliminated a category of anxious client calls. One homeowner, a doctor, saw his project was 10 days ahead of schedule and never called to check in, even after four quiet days on-site. During three days of torrential rain, no client called asking where the crew was. The weather delay was already visible on the client dashboard.

“The accountability is phenomenal too,” Phinney adds. Disputes over verbal instructions have disappeared now that decisions are documented in-platform instead of remembered differently by both sides.

That same visibility has become a sales asset. James and David now bring a laptop into client consultations to show prospects how organized the business is, a level of process most competitors in the Boston market don't have. “Houzz Pro is a direct sales tool,” Flaherty says. “It's generating sales for us just by showing how we're upgrading our own processes.”

The result is a business holding its chosen size on purpose: steady at its $2M sweet spot, with less admin drag and more capacity to actually run the jobs it takes on.
